Terms of Service

These Terms of Service (“Terms”) govern your access to and use of Track My BCBA (“Service”), operated by KorBon.ai (“we,” “our,” or “us”). By creating an account or using the Service you agree to these Terms. If you do not agree, do not use the Service.

1. Description of Service

Track My BCBA is a fieldwork-tracking tool designed to help BCBA and BCaBA candidates log supervised and independent fieldwork hours, monitor compliance with BACB experience requirements, and generate XLSX exports compatible with common workbook formats.

This Service is a personal productivity aid only. It does not constitute official BACB recordkeeping, does not guarantee BACB acceptance of any submitted hours or documentation, and is not a substitute for guidance from the BACB, your supervisor, or your training program. You are solely responsible for ensuring your fieldwork records meet current BACB requirements.

2. Eligibility & Account

• You must be at least 18 years old to use the Service.
• You must provide accurate information when creating your account and keep it up to date.
• You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
• You may not share your account or allow others to access the Service using your credentials.
• Notify us immediately at support@trackmybcba.com if you suspect unauthorized access to your account.

3. Subscription, Trial & Billing

3.1 Free Trial

New accounts receive a 14-day free trial with full access to all features. No credit card is required during the trial period. At the end of the trial, a paid subscription is required to continue using the Service.

3.2 Subscription

After the trial, the Service costs $15 USD per month, billed monthly via Stripe. Your subscription auto-renews each month until cancelled. By subscribing, you authorize us to charge your payment method on a recurring basis.

3.3 Cancellation

You may cancel your subscription at any time through your account settings or the Stripe billing portal. Your access will remain active through the end of the current billing period. Cancellation prevents future charges but does not entitle you to a refund for the current period.

3.4 Refunds

All charges are non-refundable except where required by applicable law. If you believe a charge was made in error, contact us within 14 days of the charge and we will investigate.

3.5 Price Changes

We may change the subscription price with at least 30 days’ notice sent to your registered email address. Continued use after the notice period constitutes acceptance of the new price.

4. Acceptable Use

You agree not to:

• Use the Service for any unlawful purpose or in violation of any applicable laws or regulations
• Submit false, fabricated, or misleading fieldwork records
• Attempt to gain unauthorized access to any part of the Service or another user’s data
• Use automated tools to scrape, crawl, or extract data from the Service
• Reverse-engineer, decompile, or otherwise attempt to derive the source code of the Service
• Resell, sublicense, or otherwise commercialize access to the Service
• Upload content that is illegal, obscene, or harmful to others
• Impersonate any person or entity or misrepresent your affiliation with the BACB or any supervisor

5. AI Features & Accuracy Disclaimer

Track My BCBA uses AI to help parse voice recordings, handwritten notes, and imported spreadsheets into structured fieldwork entries. AI-generated output is not guaranteed to be accurate. The AI may misinterpret dates, hours, activity types, or supervisor information.

You must review every AI-generated entry before saving it and before submitting any records to the BACB, your supervisor, or your training program. We are not liable for errors, omissions, or inaccuracies in AI-parsed content.

All AI processing is performed inside Trusted Execution Environments (TEEs) provided by Chutes.ai, which offer hardware-level isolation so that the model provider cannot access the plaintext of your data during inference. We do not retain any user content after AI processing is complete — audio, images, and text are processed ephemerally and are never stored by our AI subprocessor.

6. Data Security Commitment

We take the security of your fieldwork data seriously. Our technical safeguards include:

• All data encrypted in transit (HTTPS/TLS)
• Row-Level Security with FORCE enforcement on every database table
• Trusted Execution Environments (TEEs) for all AI inference
• No persistent storage of audio recordings or uploaded images
• Origin validation on all mutation endpoints
• Strict input validation on all API routes
• Cloudflare Turnstile bot protection on authentication pages
• Cascade deletion ensuring complete data removal on account closure

7. Your Data

You retain ownership of the fieldwork data, notes, and other content you input into the Service (“User Content”). By using the Service, you grant us a limited, non-exclusive license to process, store, and transmit your User Content solely to provide the Service to you (including sending content to third-party AI subprocessors as described in our Privacy Policy).

You are responsible for the accuracy of the data you enter. We are not responsible for incorrect BACB calculations resulting from data you provide.

8. Intellectual Property

All content, features, and functionality of the Service — including but not limited to the software, design, text, graphics, and logos — are owned by KorBon.ai and are protected by copyright, trademark, and other intellectual property laws. Nothing in these Terms grants you any right to use our trademarks, trade names, or logos without prior written consent.

9. Termination

We may suspend or terminate your account at any time, with or without notice, if you violate these Terms or for any other reason at our sole discretion. You may also delete your account at any time by contacting us. Upon termination, your right to use the Service ceases immediately. Sections 5, 6, 7, 8, 10, 11, and 12 survive termination.

10. Disclaimer of Warranties

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF HARMFUL COMPONENTS. WE DO NOT WARRANT THAT AI-GENERATED CONTENT WILL BE ACCURATE OR COMPLETE.

THE SERVICE IS NOT A SUBSTITUTE FOR PROFESSIONAL LEGAL, REGULATORY, OR CERTIFICATION ADVICE. USE OF THE SERVICE DOES NOT GUARANTEE BACB ACCEPTANCE OF YOUR FIELDWORK HOURS.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, KORBON.AI AND ITS OFFICERS, EMPLOYEES, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES (INCLUDING LOSS OF DATA, LOST PROFITS, OR MISSED CERTIFICATION DEADLINES) ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM OR (B) $50 USD.

12. Governing Law & Disputes

These Terms are governed by the laws of the United States, without regard to its conflict-of-law provisions. Any dispute arising from or relating to these Terms or the Service will first be addressed by good-faith negotiation. If unresolved within 30 days, disputes shall be settled by binding arbitration under the rules of the American Arbitration Association, except that either party may seek injunctive or equitable relief in any court of competent jurisdiction.

You waive any right to a class action lawsuit or class-wide arbitration.

13. Changes to These Terms

We may modify these Terms at any time. Material changes will be communicated via email or a prominent notice in the Service at least 14 days before taking effect. Continued use after the effective date of updated Terms constitutes your acceptance.
